Everything a sale needs, so your evenings stay yours

Each of these takes a chore off your team: typing the catalog, chasing payments, running the pickup line, finding buyers.

Catalog a sale in an afternoon

  • A capture app for as many phones as you have helpers, each with its own lot numbers so nobody collides: burst photos, voice notes and short videos. It keeps working when the signal drops and catches up when it's back.
  • AI drafts from the photos and notes: title, description, category, size class, and makers' marks, signatures and model numbers as seen.
  • Drafts fill only empty fields and stay suggestions until staff approve them; a review grid for the whole sale.
  • Estimates, info lots, per-lot handling and loading-help flags, and restrictions for regulated categories.
Each phone gets its own lot numbers, so helpers never collide.
AI drafts the title, category and description from the photos.
You read each draft and approve it.

Closing night runs itself

  • Maximum bids, increments you set, soft close and staggered closing times.
  • Bidders register with a card saved through Stripe; after the sale closes, cards are charged automatically on your own Stripe account. No invoice night.
  • Bidder approval, spending caps for new bidders, reputation badges from real payment and pickup history, and blocks.
The live board: each lot's bid and time left on closing night.
When the sale closes, saved cards are charged on your Stripe account.
Paid and unpaid in one list. Declined cards are retried.

Pickup without the line

  • Pickup days with time slots that buyers book from their invoice; longer slots for lots that need loading help.
  • Check-in by QR code, proxies, walk-ups, and a pickup receipt emailed at handoff.
The buyer books a pickup time from their invoice.
A QR code checks the buyer in when they arrive.
The pull list shows each lot's photo, so the crew grabs the right item.

Shipping

  • Buyers can see a shipping estimate to their address before they bid.
  • In-house: live rates, packing presets, Charge & Print labels and tracking sent to the buyer.
  • A partner shipper packs from their own queue, or an outside service collects on a date you set with a printable manifest.
  • Or pickup only: the Ship option is hidden and your terms say so.
Live label rates for the packed box.
If shipping is above the estimate, the buyer approves it first.
Print the label. Tracking goes to the buyer.

Consignor accounting

  • Proposals: shoot a consignor's items on a walkthrough and send a branded proposal with estimates from comparable sales.
  • Flat or tiered commission, per-lot fees and charges, and a share of buyer's premium per consignor.
  • Settlement statements as PDFs, payouts recorded, and a consignor portal from proposal to settlement.

More buyers without more work

  • Your own branded storefront, on your own domain if you like.
  • Your lots on Catalot's marketplace by category and area, with search by distance, a map and saved-search alerts to bidders.
  • Referrals from families who need help selling an estate. Referral leads: Pro and Volume first; Starter when no Pro or Volume company serves the area.
  • A sold archive with hammer prices, and structured data for search engines.

Saved-search alerts tell buyers when your lots match.
Buyers find your sale on the map.

Market every sale from one screen

  • An announcement kit when you publish: an email to your followers and past registrants, with up to 8 featured lots you choose in a photo grid. You review it, then send it.
  • A printable flyer with a QR code to the sale, and ready-to-post Facebook, Instagram and X posts.
  • Estate sale directory listings written for you, with every lot listed and every lot's photo in one download.
  • Email campaigns to your list. No separate email marketing service to pay for: one-click unsubscribe and your mailing address are handled for you. Text messages are coming soon.
  • Results for each announcement email (opened, clicked, registered, first bids) and where your visitors came from.
  • Automatic messages to your bidders: outbid, closing soon (15 minutes before a watched lot, an hour before the sale), no bids yet, won, pickup reminders, tracking, lots added, saved-search alerts and the weekly digest.

Your team

  • Roles with per-person permissions, staff limited to certain sales, and two-step sign-in.
  • A message center for buyer questions and order conversations by email and the website (text messages coming soon).
  • Analytics per sale: bidders per lot, sell-through, payment and pickup, and where registrants came from.
Staff roles: each person gets the areas their job needs.
Tick areas per person, and limit staff to certain sales.
Two-step sign-in with an authenticator app.
